Data we collect

We collect account info, usage data, and content you submit to provide the service.

How we use data

We use data to operate, improve, secure the service, and support customers.

Google user data

If you connect Google Calendar, Qevo requests access to the following Google user data, using OAuth tokens that are encrypted at rest and used only to perform the actions you request:

• Your list of Google Calendars, so you can choose which calendar to add events to
• The ability to create calendar events on your behalf, when you confirm an AI-detected event from a forwarded email
• Your Google account email address, to confirm which Google account is connected

We do not sell, rent, or share your Google user data with third parties. Google user data is never used for advertising and is never disclosed to anyone except as needed to provide the calendar features you request (e.g., our AI provider, solely to extract event details from the text you forward, and our cloud hosting provider, solely to store the connection).

Qevo's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

AI processing and Google user data

Qevo uses a third-party AI provider (OpenAI) to detect meeting details in emails you forward to us, so we can suggest calendar events for you to confirm.

Google Calendar data is never sent to our AI provider. Only the text of the email you forward (subject and body) is sent for event extraction. We do not read your existing Google Calendar events, and calendar names or IDs are never included in that request — Google Calendar is used only to list your calendars so you can pick one, and to create the event once you confirm it.

We do not transfer raw or aggregated Google user data to any third-party AI service for the purpose of training or improving their models. Our AI provider's API is used solely to process the specific request in real time and, per our agreement with them, is not used to train their models.

Qevo's use of data received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Sharing

We share data with service providers as needed to run the product, and as required by law.

Security

We apply the following safeguards to protect your data, including sensitive data accessed through Google APIs:

• All data sent to and from Qevo is encrypted in transit using HTTPS/TLS, including connections between our servers and our database.
• Data is stored in a PostgreSQL database that is encrypted at rest by our hosting provider (Neon).
• Access to stored data is restricted to authorized systems and personnel. Passwords are hashed using bcrypt and are never stored in plain text; API tokens are stored as one-way hashes.
• User accounts are protected by mandatory email verification, optional two-factor authentication (TOTP), and automatic temporary lockout after repeated failed login attempts.
• We maintain audit logs of security-relevant account activity, such as logins, failed login attempts, and lockouts, to help detect and respond to suspicious activity.

No system is 100% secure, but we apply these industry-standard safeguards and continue to improve them over time.

Retention

We retain data for as long as necessary to provide the service and meet legal obligations.

Your rights

Depending on your location, you may have rights to access, delete, or export your data.

Account Deletion

You have the right to delete your account and all associated data at any time. To delete your account:

1. Sign in to your Qevo account
2. Navigate to your Profile page by clicking on your avatar in the top right corner and selecting 'Profile'
3. Scroll down to the 'Danger Zone' section at the bottom of the page
4. Click 'Delete Account' and confirm your decision in the dialog that appears

Please note: Account deletion is permanent and cannot be undone. All your tasks, settings, and associated data will be permanently removed from our servers.
